This policy explains how Dynamic Waste Solutions Ltd ("we", "us", "our") collects, uses and protects personal data when you use this website, place an order, book a phone call, or contact us. We are the data controller for the personal data described below.

What personal data we collect

Contact details you give us when placing an order, making a booking, or submitting a contact form: name, email address, phone number, and company name where applicable.
Order and transaction details: items purchased, order value, and order status. Card payment details are collected and processed directly by our payment processor, Stripe — we do not store your card details ourselves.
Call booking details: the type of call, the date/time you chose, the number to call you on, any notes you provide and, for subcontractors, your trade and the area you cover.
If you log in to our client portal, the email address you log in with, the company it is linked to in Field Ascend, and when you last logged in. Your trade pricing level is also stored so we can show your prices.
If you are an existing client with access to our client portal, service, invoicing and compliance records are held and managed within Field Ascend, our field service management platform.
If you offer us a machine to buy or trade in: your name, company, email address and phone number, details of the machine and where it is, and any photos you send. Photos are only visible to our staff.
If you sign up for our monthly machinery update: your email address, when you signed up and confirmed, the wording you agreed to, and when you unsubscribe.

How we use your data and our legal basis

To fulfil an order or booking — performance of a contract with you.
To respond to enquiries and provide customer support — our legitimate interest in running the business, or performance of a contract.
To meet accounting, tax and other legal obligations — legal obligation.
To assess and respond to a machine you've offered us — taking steps at your request before entering into a contract.
To send our monthly machinery update — your consent, which you give by ticking the box and confirming by email. You can withdraw it at any time using the unsubscribe link in every email; we keep a record of your unsubscribe so we don't email you again.

We share personal data with trusted service providers only where necessary to run our business, including:

Stripe — to process online payments.
Field Ascend — to manage service scheduling, job history and compliance records for existing clients.
Soundbridge Business Management (https://sbbm.co.uk) — who build and maintain this website and the server it runs on for us, acting as a data processor on our instructions. They have access to personal data only as needed to provide that service.

We do not sell personal data to third parties.

How long we keep data

We retain personal data only for as long as necessary for the purposes described above, including to meet legal, accounting or reporting requirements (for example, UK tax law generally requires financial records to be kept for at least 6 years).

Your rights

Under UK GDPR, you have the right to request access to, correction of, or deletion of your personal data, to restrict or object to certain processing, and to request data portability. You also have the right to lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk.

This website currently uses only strictly necessary cookies required for it to function — for example, to keep you logged in or to remember the contents of your shopping cart. These do not require your consent under UK cookie law (PECR). If we add analytics or marketing cookies in future, we will update this policy and ask for your consent first.
